Terms and conditions for The Leadership Pause

In these Terms & Conditions:

  • "We", "us" and "our" mean Encompass Equality Ltd, the organiser of The Leadership Pause.

  • "You" and "your" mean the person making the booking and attending the event.

  • "Event" means The Leadership Pause event taking place at Hintlesham Hall, Hintlesham, Suffolk, on 15th and 16th October 2026.

By booking a place on The Leadership Pause, you confirm that you have read and agree to these Terms & Conditions.

1. Booking Your Place

Your place is confirmed once your booking has been accepted and your deposit payment of £150 plus VAT has been received.

If a balance payment is due, this must be paid by the date specified in your booking confirmation. We reserve the right to cancel your booking if payment is not received by the due date.

2. What's Included

Your fee includes:

  • Luxury accommodation at Hintlesham Hall

  • All meals and refreshments as outlined in the programme

  • Facilitation, workshops and materials

  • Group activities included within the programme

Unless otherwise stated, the fee does not include:

  • Travel to and from the venue

  • Spa treatments or additional hotel services

  • Alcoholic drinks beyond those included within the programme

  • Personal purchases or incidental expenses

3. Cancellation by You

By booking your place, you are committing to pay the full event fee. Payment of a deposit secures your place but does not limit your liability to the amount of the deposit.

If you need to cancel your booking, please let us know in writing as soon as possible.

The following cancellation terms will apply, calculated by reference to the full event fee:

  • More than 60 days before the event (up to and including 15 August 2026): You will be entitled to a refund of any amount paid, less the non-refundable deposit of £150 plus VAT (£180 in total).

  • Between 30 and 60 days before the event (16 August to 15 September 2026): You will remain liable for 50% of the full event fee. If you have paid more than this amount, the difference will be refunded. If you have paid less than this amount, the outstanding balance will become payable.

  • Less than 30 days before the event (from 16 September 2026): You will remain liable for the full event fee. If you have paid only a deposit or part-payment, the remaining balance will become payable.

Any outstanding amount due under these cancellation terms must be paid within 14 days of cancellation or, if sooner, before the date of the event.

If we are able to fill your place from our waiting list, we may, at our discretion, reduce the cancellation charge or offer a full or partial refund.

You may transfer your place to another suitable participant with our prior written agreement. Any outstanding balance must still be paid by the original payment due date unless we agree otherwise in writing.

4. Cancellation by Us

In the unlikely event that we need to cancel the event due to circumstances beyond our reasonable control or because minimum participant numbers have not been reached, you will receive a full refund of the fee you have paid. We aim to do this within two weeks of the event at the latest.

Our liability will be limited to the amount you have paid for the event. We cannot accept responsibility for travel, accommodation or other costs incurred outside of your booking with us.

5. Changes to the Programme

We reserve the right to make reasonable changes to the programme, timetable, facilitators or speakers where necessary. Any changes will be made with the aim of maintaining the quality and overall experience of the event.

6. Health, Accessibility and Dietary Requirements

Please let us know of any dietary requirements, allergies, medical conditions or accessibility needs when you book.

We will work closely with Hintlesham Hall to accommodate reasonable requests wherever possible.

7. Wellbeing

The Leadership Pause is a professional leadership development retreat designed to support reflection, learning and personal growth.

It is not intended to provide medical advice, counselling, psychotherapy or other healthcare services. Participants remain responsible for their own wellbeing throughout the event.

8. Photography

We may take photographs during the event for future marketing and promotional purposes.

If you would prefer not to appear in any photographs, please let us know before the event begins and we will ensure your wishes are respected.

9. Personal Belongings

Participants are responsible for their own personal belongings during the programme. We cannot accept responsibility for loss, theft or damage to personal property.

10. Our Liability

We will take reasonable care in delivering the event and selecting appropriate venues and suppliers.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence or for fraud.

Subject to this, our total liability in relation to your booking shall not exceed the amount you have paid for the event.

11. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.

12. A Final Note

The Leadership Pause has been designed as a welcoming, thoughtful and supportive experience. We understand that unexpected situations can arise and we will always do our best to deal with them fairly and reasonably.
